AI automation

AI automation for your business processes, with n8n and Make

Forms that reach your CRM on their own and orders that trigger their own notifications, with no copy and paste. We connect WordPress and WooCommerce to your tools, and we let you know if a workflow fails.

Processes

Which processes we automate

It almost always starts the same way: a task someone repeats every day, by hand, between two browser tabs. These are the most common starting points. We only build what you need.

Forms and leads into your CRM

When someone fills in a form on your website, their details go straight to your CRM and your inbox. Nobody retypes them and none get forgotten in an inbox.

WooCommerce orders to invoice and notification

When an order comes in, the workflow can prepare the invoice, notify whoever packs the shipment or log it in a spreadsheet. You decide what happens at each step.

Publishing content without copy and paste

What you prepare in a document or spreadsheet reaches WordPress as a draft, with its title, text and category. Reviewing and publishing is still up to you.

Notifications and alerts

A message by email, Telegram or WhatsApp when something you care about happens: a large order, an urgent form, an error in a workflow. Before setting up a channel, we check each service's terms of use.

Reports in spreadsheets

Data from your shop or your forms lands in a spreadsheet as often as you like. No more exporting and pasting every Monday.

Calculator

How much does doing it by hand cost you?

Enter a task you repeat and see how many hours a year it takes. It is the first thing we look at to decide whether it is worth automating.

Each year, that task costs you

AI

Where AI fits into an automation

Not everything needs artificial intelligence. A workflow that moves a piece of data from A to B works better with fixed rules: it is predictable and does not make mistakes out of creativity.

AI comes in where there is text someone would have to read and make a decision about. A step in the workflow can classify a message by topic, summarise a long enquiry or draft a reply. The rest of the workflow stays mechanical.

And there is one rule we do not negotiate: whatever the AI writes stays as a draft until a person reviews it. It can be relaxed for low-risk tasks, but that is your decision and we put it in writing.

If you also want an assistant such as Claude or ChatGPT to act inside your website, workflows can be combined with an MCP server for WordPress.

Tools

n8n or Make: which we choose and why

Both tools do a similar job. What changes is how they are hosted, how they are paid for and how much freedom they give you. We do not push either by default: we choose based on your case.

n8n

It can be hosted on your own server, which matters when personal data is involved and you want to decide where it lives. It handles complex workflows and custom code when needed. In return, someone has to maintain the server, and that someone can be us.

Make

It is a cloud service: you sign up and use it, with no server to maintain. It is convenient for simple to medium workflows and for teams that want to edit them themselves. Data passes through an external provider, so we check where it is processed.

And Zapier

It exists too, and for very simple tasks it can be enough. If that is your case, we tell you before building anything bigger.

The decision comes down to three things: what data is involved, how much the workflow will grow and who will be editing it later. We explain it to you on that basis, not on which tool we happen to like best.

WordPress

Automation with WordPress and WooCommerce

This is what sets us apart: we have been working with WordPress for 8 years and know how it connects under the hood. It is not a generic workflow bolted onto a website; it is a workflow designed for it.

n8n and WordPress

WordPress talks to n8n and Make through webhooks and its REST API. That lets you create posts and pages from a workflow, receive form submissions or react when something is published.

n8n and WooCommerce

The shop tells the workflow when an order changes, and the workflow does whatever comes next: notify, log, invoice or update another tool. It can also read products and customers, with just the permissions it needs.

An example you can open right now

The project assistant on this website saves every request to a database and sends it automatically to WordPress, where it is stored as a lead and emailed to the team. You open it with the "Tell us about your project" button. It is exactly this kind of automation, up and running.

Security

Credentials, permissions and GDPR

A workflow moves data between systems, and that is either done properly or not at all.

Separate credentials per connection

Each connection has its own credentials. If an access has to be revoked, you cut that one without bringing down the rest.

Least privilege

A workflow that only reads orders cannot delete them. Each connection gets only what it needs.

GDPR checked before moving data

Before sending personal data from one place to another, we check what data it is, where it goes and whether that fits the GDPR. Sometimes the answer is to move less information, and that is what we do.

Process

How we work

  1. 01. Spot the task

You tell us what you repeat and which tools are involved. From that we see whether it is worth automating.

  2. 02. Design the workflow

We map out what happens, in what order, what a rule decides and what a person decides.

  3. 03. Test with real cases

We run it with real data before leaving it live, including the odd cases.

  4. 04. Document it

We give you, in writing, what each step does, which connections it uses and how to switch it off.

  5. 05. Alerts if it fails

Every workflow ships with alerts, so a failure does not go unnoticed for weeks.

Failures

What happens when a workflow fails

Workflows depend on services that sometimes go down, expire or change. That is why we build them with the day something breaks in mind.

If a step fails, the workflow alerts you through the channel you choose, with the data it could not process. When the cause is temporary, such as a service being down for a while, it can retry before bothering you. And nothing gets lost silently: whatever was not processed stays visible so it can be recovered.

Fixing it is our job if you commissioned it from us. And if you would rather have someone keep a continuous eye on your website and your workflows, it fits with a WordPress maintenance plan.

Who does the work

We are a studio from Oleiros (A Coruña, Spain) with 8 years of hands-on WordPress experience, working freelance since February 2018. You talk to the person who does the work, not to a go-between. Meetings are by video call and, if you are in the city of Barcelona, we can also meet in person.

FAQ

AI automation: frequently asked questions

Which business processes can be automated with AI?

The ones that repeat and follow a pattern: moving form data into a CRM, getting notified when an order comes in, preparing invoices, publishing content from a spreadsheet or building reports. AI adds value in the text-based steps: classifying messages, summarising enquiries or drafting replies that a person then reviews.

Which is better: n8n, Make or Zapier?

It depends on your case. n8n can be hosted on your server and gives more freedom for complex workflows, but it needs maintaining. Make is a cloud service and easier to start with. Zapier can be enough for very simple tasks. We recommend one after seeing what data is involved and how much the workflow will grow.

How much does it cost to automate a process with n8n?

It depends on the process: how many tools it connects, how many different cases it handles and where it is hosted. That is why we do not publish a price. You tell us about the task, we analyse it and reply within 48 business hours with a fixed quote in writing.

Does my data leave the EU if I use n8n or Make?

It depends on where the tool is hosted and which services you connect. n8n can be hosted on a server of your choice. With Make and other cloud services, data passes through an external provider. Either way, we check GDPR compliance before moving personal data.

Can n8n connect to WordPress and WooCommerce?

Yes. WordPress and WooCommerce connect to n8n and Make through webhooks and their REST API. You can create content from a workflow, receive form submissions or react to order changes, always with separate credentials and least-privilege permissions.

What happens if an automation stops working?

You find out. Every workflow sends alerts through the channel you choose, and anything that could not be processed stays visible so it can be recovered. If you commissioned the workflow from us, we fix it. And if you want ongoing monitoring, it can be included in a maintenance plan.
